How do I address and mail formal invitations?

Addressing and mailing formal invitations requires attention to detail and adherence to etiquette to ensure they convey the appropriate level of respect and professionalism. At Print Harbour, we understand the importance of presentation in formal communications. Here’s a guide on how to address and mail formal invitations properly:

Use Full Names and Titles

When addressing invitations, use full names and appropriate titles (e.g., Mr., Mrs., Dr.). Avoid using abbreviations or nicknames. For married couples, it’s traditional to list the husband’s name first (e.g., Mr. and Mrs. John Smith).

Include Inner and Outer Envelopes

For very formal events, use both an inner and an outer envelope. The outer envelope should have the full address and title, while the inner envelope can be more informal, using only the last names or first names if the recipients are close friends or family.

Respectful Addressing for Couples

For unmarried couples living together, list each name on a separate line. For same-sex couples, arrange the names in alphabetical order by last name or simply in the order that sounds best to you.

Consider Children and Families

For families, the outer envelope can be addressed to the parents, while the inner envelope can list the parents’ titles and surnames along with the first names of the children, if they are invited.

Handwriting Adds a Personal Touch

For a formal invitation, consider hand-addressing the envelopes. This adds a personal and elegant touch. Alternatively, use a professional calligrapher or printing service that mimics calligraphy.

Double-Check Postage

Weigh a fully assembled invitation to determine the correct postage. Remember that irregularly sized, extra heavy, or unusually shaped invitations may require additional postage.

Return Address

Include a return address, which is typically placed on the back flap of the outer envelope. This ensures any undeliverable invitations are returned to you.

Send in Advance

Mail invitations well in advance of the event date, typically six to eight weeks beforehand. For destination weddings or very formal events, consider sending them even earlier.

At Print Harbour, we’re committed to ensuring every aspect of your event’s presentation is handled with care and elegance. Properly addressing and mailing your formal invitations is just as important as the design and content of the invitations themselves. If you need assistance with designing and printing formal invitations, or have any queries about invitation etiquette, feel free to contact us. We’re here to help make your event a memorable and sophisticated occasion.
